An existing customer on channel
XML connection has to be enabled by World Meetings and they will provide the XML credentials upon request. There is a third party which provides these credentials so please request them on time. No Pincode is needed.
Contact takes only place between the channel manager and Worldmeetings. The reason is that direct action is needed from the moment the xml credentials are switched and provided. From that moment all reservation will immediately flow via the channel manager connection.

Who provides what
Worldmeetings send the username and password for the xml connection to SmartHotel. Those are not the credentials for the extranet. The PIN is not required

Please be aware that all rooms which have been used on World Meetings will remain visible in the mapping screen, even though these are not actively used anymore. These rooms cannot be removed or hidden so the hotels needs to indicate precisely which rooms they would like to connect.

Worldmeetings works with contracted rates with a maximum. Only BAR rates until the maximum rate will be accepted.

Please be aware that all rooms which have been used on World Meetings will remain visible in the mapping screen, even though these are not actively used anymore. These rooms cannot be removed or hidden so the hotels needs to indicate precisely which rooms they would like to connect.
How far in advance can data be sent
The end of the current year. Allotment for the next year needs to be created by entering prices for the next year in the Worldmeetings extranet. Only after this action can the channel manager push data for the next year. If a hotelier has not done this before December of the current year, then prices and allotment will automatically be extended. A refresh is needed after the hotelier has loaded prices in the Worldmeetings extranet or after the automatic extension.
WorldMeetings need a maximum annual rate from each location and the BAR price may then send up to the maximum rate. They usually ask all hotels from the summer to approve the maximum rates for next year on our website. If that is done by the hotel, then their system will also accept the BAR prices SmartHOTEL sends. As long as the new maximum year rate is not available, SmartHOTEL will receive an error stating that the rate cannot be found. As soon as the hotel approves/updates the prices with us through the website, this will be fixed.

Reason of occurrence: Worldmeetings has ''set rates'' , this is more of a warning rather than error. If the price we send exceeds the Worldmeetings set maximum rates, we will receive a warning back with the new rate in their system.
